IT Offboarding Checklist
When someone leaves, get the right checklist in the right order for their systems, the type of exit and the risk. Track every account and device until access is fully removed, then print a signed-off record.
🔒 Everything stays in this browser — nothing is uploaded. Back up to a file regularly: clearing your browser data deletes what's here.
Keep personal details to a minimum. Name, role and dates are enough. Don't record home addresses, ID numbers, passwords or the reasons someone is leaving.

How it works
- Describe the departure. Name, role, last working day, the type of exit and whether it's elevated risk. That's all the personal detail you need.
- Tick the systems they could reach. Email, single sign-on, devices, admin accounts, finance systems, custom apps and more. If you use the free SaaS Renewal Radar or Software Overlap Finder in this browser, you can pick apps from those lists.
- Work through the checklist in order. Steps are grouped from "Before the last day" to "Within 90 days", each with an owner. Mark them Done or N/A; the tool records who and when. Add your own steps anywhere.
- Involuntary and elevated-risk exits are handled differently. Access removal and password rotation move to the moment the person is told, and a final log review is added. Extended leave suspends accounts instead of deleting them.
- Track every account and device. The access inventory and asset list fill in from the systems you choose, so nothing is forgotten.
- Make it your company's checklist. Save your systems and your own steps as the company standard, and every new departure starts from it.
- Finish with a record. Print the offboarding record with IT, HR and manager sign-off, print a blank checklist for paper, export CSVs or copy a summary.
- Suspect misuse? Record what you find, with evidence and a timeline, in the free Incident Log.
This checklist is a practical starting point, not legal or HR advice. Follow your HR, legal and records-retention requirements, including any legal hold, before deleting accounts, mailboxes, files or device data. Steps and platform notes are general; check the details for your own systems.
